About this Position

POSITION SUMMARY:

The Administrative Assistant performs a wide range of complex and confidential administrative and support duties. The incumbent serves as a point of contact for internal and external constituencies. The Administrative Assistant also serves as a liaison, organizes, and coordinates outreach and external relations efforts. The incumbent will have the ability to work independently on projects, from conception to completion, and can work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

ESSENTIAL FUNCTIONS:

  1. Completes a wide variety of administrative tasks for the ODR Director, including composing and preparing correspondence that is sometimes confidential.
  2. Assists in coordinating the agenda for meetings, track an account of the meetings, and designates and follows up on assigned action items.
  3. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the ODR Director, including those of a sensitive or confidential nature. Determines the appropriate course of action.
  4. Works closely and effectively with the ODR Director to inform of upcoming commitments and responsibilities, following up appropriately.
  5. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, reports, and other tasks to ensure effective management practices.
  6. Prioritizes conflicting needs, handles all matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  7. Assist in planning and implementing administrative improvements including organizational changes and work systems
  8. Answer phone inquiries, direct calls and provide necessary company information
  9. Perform clerical duties- taking memos, maintaining files, and organizing documents- As well as photocopying, faxing, and collating
  10. Arrange travel, accommodations, itineraries, and all correspondence related to arrangements
  11. Plan, organize and implement events
  12. Manages executive schedule and acts as a liaison for the executive team
  13. Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings

 POSITION REQUIREMENTS AND QUALIFICATIONS:

  1. Education level:
    1. Bachelor’s Degree, or higher, in Business Administration, or related field preferred.
  2. Level of experience:
    1. 5+ years of experience supporting administration at the executive level required
  3. Education and Experience:
    1. An equivalent combination of education and experience may be substituted.
